This notice explains how we collect, use, share and protect your personal information.

Clover Cottage Norfolk is the Data Controller and you are the Data subject.

There is no surveillance equipment on the premises.

What information do we require and why?

When you approach us to hire Clover Cottage we collect your name, address and country of residence, and contact information such as telephone numbers and email address plus the names and country of residence of all persons staying at the property. This information is required for us to contact you with details of payments and answer any questions you may have about the accommodation and also to comply with the Immigration (Hotel Records) Order 1972.
We do not request or hold any banking details, all payments are made by bank transfer or by cheque.
We require confirmation that you are over 18 years old as when you hire Clover Cottage you enter into a legal contract for which the minimum age in the UK is 18.

How long will we keep the information?

We retain the information you supply for your booking, including your personal information, in order to complete our tax returns and will retain this information for 7 years in order to comply with HMRC regulations.

Who will have access to my data?

We will treat your data with care and respect.  We will never pass your personal information to another organisation without your agreement other than as noted above in relation to tax returns or for debt recovery purposes.

How will we keep your information safe?

Information is held on our computers and back-ups.  We hold all electronic data in password protected accounting and on-line banking systems.  Hard copy information is stored in a secure location.

Data entered into the booking form on our web site is not saved on the web server.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – to ask us for copies of your personal information.

Your right to rectification – to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – to object to the processing of your personal information in certain circumstances.

Your right to data portability – to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
